Wedding Budget Calculator

Split your total budget by category and track what you have spent. Free, with no account needed.

How to use the wedding budget calculator

  1. Enter your total budget, the number of guests if you know it, and your currency.
  2. Review the share for each category. The starting split is only a template, so change it to fit your quotes.
  3. As you pay for things, enter the amount spent in each row.
  4. Watch the remaining amount per category and overall. Anything over budget is flagged.
  5. Print the budget or download CSV.

Example: a 20,000 budget

Example only: At the starting split, 45% for venue and catering gives 9,000 and 10% for contingency gives 2,000. If the venue quote is 10,000, that row shows 1,000 over.

Frequently asked questions

Are the starting percentages a recommendation?

No. They are just a place to start. Costs differ a lot by country, season and guest count.

Why keep a contingency?

Some costs are only known late, such as extra guests or price changes. A reserve stops one surprise from breaking the plan.

About the wedding budget calculator

What is a wedding budget calculator?

A wedding budget calculator turns one big number into a set of manageable amounts. You start with the total you can spend, divide it across categories such as venue, catering, photography, attire and flowers, and then track what you actually spend against each. A wedding involves dozens of suppliers and countless small costs, and without a structure it is easy for the total to drift well beyond what you planned.

This free wedding budget calculator lets you enter your total budget, the number of guests if you know it and your currency. It starts with a template split across categories, which you can change to fit your own quotes. As you pay for things, enter the amount spent in each row. The tool shows what remains per category and overall and flags anything over budget. Print the budget or download CSV. It runs in your browser with no account.

How to use the calculator

  • Enter your total budget, your currency and, if you know it, the guest count.
  • Review the share for each category. The starting split is only a template, so edit it to match real quotes and your priorities.
  • As you book and pay, enter the amount spent in each row.
  • Watch the remaining amount per category and overall. Over-budget lines are flagged.
  • Print the budget to share with your partner or family, or download the CSV.

Common wedding budget categories

  • Venue and hire: the space, furniture, decorations and any hire fees.
  • Food and drink: catering, the cake, the bar and service staff.
  • Photography and video: often a high priority for couples.
  • Attire and beauty: outfits, alterations, hair, make-up and rings.
  • Music and entertainment: DJ, band, ceremony music.
  • Flowers and decor: bouquets, table centrepieces and signage.
  • Stationery and invitations: save-the-dates, invites, order of service.
  • Transport and accommodation: cars, guest transfers and a wedding-night stay.
  • Legal fees and gifts: licences, registrar fees, thank-you gifts.
  • Contingency: a buffer for the things nobody expected.

Setting priorities before you divide

The most useful step is deciding what matters most to you as a couple. If food and music are the heart of the day, give them a larger share and spend less on flowers and stationery. If you want a famous photographer, adjust the other lines. Every wedding has trade-offs, and agreeing on them early avoids arguments later. The percentages in the calculator are a starting point, not a recommendation, and costs vary hugely by country, venue and guest count.

Guest count and cost per guest

Guest numbers drive a large part of the budget. Catering, drinks, invitations, favours and tables all scale with the number of guests, so reducing the list by ten people can save more than trimming several smaller items. Entering a guest count lets you see your budget in per-guest terms and can help you compare venue and catering quotes. The seating chart tool helps you place guests once the list is settled.

Keeping the budget under control

  • Always include a contingency of around 5 to 10 per cent. Something will cost more than quoted.
  • Ask suppliers what is not included: service charges, delivery, overtime and tax.
  • Record deposits as soon as you pay them, then update when the final balance is paid.
  • Review the remaining amounts weekly in the final month, when most payments fall due.

Saving for the wedding

If you are funding the wedding from savings, use the savings goal calculator to find the monthly amount needed to reach your total by the wedding date. The event planning checklist lists the tasks in order, with dates counted back from the day, and the monthly budget planner shows how a wedding fund fits your wider finances.

Questions to ask suppliers

Recording the answers next to each line makes it much easier to compare quotes fairly and to spot hidden costs before you commit.

  • What is the total price including tax, service charge and delivery?
  • What deposit is needed and when is the balance due?
  • What is the cancellation and rescheduling policy?
  • Are there overtime charges if the day runs late?
  • What happens if the date changes or guest numbers move?

Print, CSV and privacy

Print the budget or save it as a PDF from your browser to share with whoever is contributing. Download CSV to keep the payments in a spreadsheet. Everything you type is processed in your browser and is not sent to Just Plann. Tick “Remember on this device” to keep it between sessions, since a wedding budget is updated over months.
